Invite, Approve, and Manage Members

How space admins open the Members panel, review pending join requests on private Spaces, approve people, and remove members when the roster changes.

Spaces keep a membership roster. On an open Space, people often join when they first create a post. On a private Space, they must request access and wait for an admin. Either way, admins manage the list from the Members panel.

Open the Members panel

On the Space page, open Space options (⋮) and choose Members, or use the Members control in the Space header when available. The panel has two tabs:

  • Active — people who can participate
  • Pending — join requests waiting for approval (private Spaces)
Active shows the current roster. Owners are labeled; other members can be removed by admins.

How people get on the roster

Students on a private Space see Request Pending until you act.

After Request access, the student waits. Content stays hidden until an admin approves.

You get activity when someone requests access (bell + optional email).

Join requests appear in notifications so you can jump back to the Space and approve.

Approve pending requests

Open Members → Pending. Each request shows the person who asked to join. Choose Approve when they belong in the section.

Pending is the admin inbox for private Space access requests.

After approval, the person moves to Active. They receive a membership approved notification and can open Topics and post.

Approved people appear on Active and can enter the private Space.

Remove members

On Active, use Remove when someone leaves the course, joined the wrong section, or should no longer have access. Removal is immediate for that Space; it does not delete their Vivipod account.

Keep the roster current as enrollments change—especially on private Spaces.

Practical patterns

  • Open early, private later. Let students join from the shared link in week 1, then switch the Space to private so late outsiders cannot walk in. Existing members stay active.
  • Private from day one. Share the link only with the roster; approve requests as they arrive.
  • Moderation is separate. Membership decides who is in the Space. Topic Pending decides which posts are public. You can require both.
